Appointments, Deposits & Cancellation Policy
At Vanilla every appointment is thoughtfully prepared and time is reserved exclusively for you. As a small business, late cancellations and missed appointments have a significant impact on our time, our team, and our ability to offer availability to other clients.
We’ve created the following policy to keep things fair, consistent, and respectful for everyone.

Deposits
A deposit may be required to secure your booking. This is taken at the time of booking and is non-refundable. Your deposit will be deducted from your final balance on the day of your appointment.

Cancellations & Amendments
We kindly ask for at least 24 hours’ notice if you need to cancel, reschedule, or make any changes to your appointment.

Less than 24 hours’ notice will result in a 50% charge of the treatment cost

Missed appointments (no-shows) may be charged at 100% of the treatment cost
This allows us the opportunity to offer your appointment time to another client who may be waiting.
Where a deposit has been paid, this will be retained and any remaining balance may be charged in line with this policy.

Card Details & Charges
By booking an appointment with us, you agree to our cancellation policy. We may securely hold your card details on file and charge the relevant fee in the case of late cancellations, amendments, missed appointments, or outstanding balances.
If a payment is not successfully processed, the balance will remain payable and future bookings may be restricted until this has been settled.

Prepaid Treatments, Courses & Gift Vouchers
This policy also applies to prepaid treatments, treatment courses, and gift vouchers. The relevant portion of the treatment value will be deducted in accordance with the notice given.

Patch Testing
For certain treatments, a patch test is required prior to your appointment. It is your responsibility to ensure this has been carried out within the advised timeframe.
If your appointment cannot go ahead due to a patch test not being completed, and less than 24 hours’ notice is given, the cancellation policy will still apply.

Your Responsibility
When booking with us, you confirm that you have read and agreed to these terms. We always recommend taking a moment to review our policy so everything is clear and there are no surprises.

Contacting Us
If you need to make a change within 24 hours of your appointment, please call us directly. While we always do our best, we cannot guarantee that emails or messages will be received in time, and charges may still apply.

We truly appreciate your understanding and support. Respecting this policy allows us to protect our time, support our team, and continue providing the level of care and experience you expect from us.
Patch testing
A patch test must be carried out a minimum of 24 hours prior to any lash or brow tinting, brow lamination, brow definition (HD), lash lift treatment or permanent make up.
Please pop in to salon at your earliest convenience for your patch test if you are a new client, new to any of the treatments above or it has been longer than 12 months since you had the treatment previously.

Treatments cannot go ahead without a test and you may be subject to our cancellation/no show policy if an appointment is attended without a prior patch test having been carried.
Privacy Policy
Why we collect your data?
Vanilla Beauty requires personal data from you as part of your treatment and consultation process, this includes any medications and medical conditions that may affect your treatment. The information you give will only be used as record of your treatment and kept secure.
We are required by our insurance company to keep such records for a minimum of 7 years.

Who can see your data?
The information we collect is only for use by therapists at Vanilla Beauty for the purposes of your treatment. This information will not be shared with any third party and is kept secure.
You have a right to request a copy of your records at any time, and can request in writing to have them deleted if you are no longer a client of Vanilla Beauty.
Gift Vouchers
Our gift vouchers are valid for 6 months after date of issue. Vouchers are redeemable against treatments and products unless otherwise stated. Vouchers cannot be returned and refunds cannot be given. Balances can be used in separate transactions unless otherwise stated.​
Our shipping and returns policies
Shipping:
We aim to dispatch orders within 2-4 working days, (Mon-Fri). Orders placed before 2pm, we will do our very best to ship them next working day if possible. Once your order is on its way, we will send you a confirmation email with tracking details so you can check when it will be due for delivery. ​Returns:
We hope you love your beauty and skincare products but we understand that sometimes things aren't alway right so if you change your mind and would like to make a return or an exchange you will have14 days to let us know.

Important bits:

Products must be in their original, unused, and unopened condition.

Due to hygiene reasons, we can’t accept returns of opened or used products unless they’re faulty.

If an item is faulty you are entitled to an exchange or refund you have 30 days from receiving the item to let us know.

Gift vouchers or promotional items can not be returned, exchanged or refunded.

Postage for returns:​

If you are returning something because you changed your mind, the cost of postage will be with you. If you are returning an item because it is faulty don't worry we will take care of that and talk you through the postage when you get in touch.

We recommend products are sent via tracked postage, packaged well to avoid damage and please keep proof of postage for reference.

Returns, refunds and exchanges will be processed within 14 days.
